Do you work with your State Dept of Ed regarding your conference?


Question: How does your organization provide exhibitors with badges for your annual conference?

Answers:

In Tennessee, we have a sliding scale based on the number of booths/size of donation. For example, an 8x10 booth gets 2 badges. However, if they have an 8x10 but donate additional money, we add to that and give them 4 or 6 badges. Only for our diamond partners (highest donation) do we have unlimited badges available. After that, we charge a set amount for additional booth personnel and we stick to it! We do not allow anyone in our conference without a badge. If they have more than the number show up, we charge them on the spot before we generate a badge for them! It has not been a problem and they don’t mind paying.

Basically we follow this pattern, Exhibitors will receive 2 complimentary Conference badges and 3 complimentary Exhibitor badges. The badge order form is included in the Exhibitor Agreement. You may fax badge edits to us at Edevents until April 20th. Changes not made by April 20th will be made at the service desk upon arrival.
Conference badges include full privileges to all conference activities, including the keynote event and sessions. Additional conference badges cost $150 each.
Exhibitor badges allow access to all Terrace and Marketplace areas, but do not include conference sessions or keynote admission. Additional exhibitor badges cost $75 each.

Here's how NECC handles badges for exhibitors: All booth personnel are required to register for the conference. The number is 5 booth staff per 10x10. Many companies have booth sizes larger than 10x10, so they have more than 5 badges. They may acquire more personnel badges if they like for a cost of $5 per add'l badge. They can request add'l badges in advance via the exhibitor website or onsite. At this time, I am not aware of any limit on the number of badges a company can have.

Greetings all,
This thread has been a very timely topic for CUE-SN as we are now back in the conference business after some down time. As a consequence we/I don't have any up-to-date conference exhibitor information. Can any of you share what you charge, possible contracts & any other pertinent info. I went to the Micca site below but they are updating forms. I would appreciate anything you were willing to share. The recent speaker info was much appreciated too.
